Position Title: Customer Service Representative (CSR) Schedule: Full Time 7:30AM to 5:00 PM Monday thru Friday (some overtime might be required) Position Essential Functions and Responsibilities: This position works directly with our customer accounts. The CSR will receive personal, telephone, fax, and online quote request and orders. All quotations and orders are completed using catalog and computer with associated glass software. The position requires a friendly and outgoing approach to answering the phone and directing calls to other personnel. It is important to work accurately make certain all quotations, orders, and phone call responses accurately communicate to our customers inquiries. Experienced CSR will complete daily invoicing and back up other CSR's as needed. Essential Functions: Essential functions include the following as well as other duties that may be assigned. Customer Service: * Comply with IGC Mission Statement and Values * Answer all incoming calls Promptly and in a Friendly manner * Customer Service is number One with respect to our Customers. * Maintain a Positive and Friendly attitude while assisting the customer * Quotations and Work Orders must be handled promptly and courteously * Accuracy in processing Customer's business is mandatory - Goal No errors leave the Office Administration: * Make Daily Will Calls that are ready for pickup * Waits on all Customers and payments * Logs all Work Orders being delivered daily * Invoice All Pick Ups and Deliveries Daily * Confirm all pick up or delivery is invoiced daily * Import Daily Business information into QuickBooks * File Invoices Paid and Unpaid * Any necessary clerical duties as required * Back-up other CSR's or Office Manager as needed * Quickly learn Procedures and be willing to Cross Train in all office duties * Insure all company policies and procedures are being followed * Insure compliance with All Safety requirements * Any clerical duties required or requested * Keep a good line of communication with all Indy Glass Employees * Places high emphasis on attendance and punctuality * Pursue personal development and knowledge for effective performance of role * Good personal hygiene and appearance Other General Functions: * Willing to work with other departments as needed * Exceptional work ethic Skills Necessary for Position: * Operation of Standard Office Machines: Phones, Calculators, Copier, Fax Shredder * Use and Learn a variety of Software (GTS, Excel, Word, Outlook, QuickBooks) * Basic Bookkeeping Understanding * Understand Units of measure and be able to perform general mathematical equations * Be able to use and read a tape measure * Good Communication skills * Self-motivated, quick learner, and flexible Education and/or Experience: High school diploma is required. A plus if employee had an Associate's degree or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience. Language Skills: Ability to read and comprehend instructions, short correspondence, and memos. Ability to write routine reports and correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Mathematical Skills Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. Reasoning Ability Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Other Skills and Abilities: * Must be organized and able to prioritize to meet deadlines * Must be able to adjust to continuous change, deal with ambiguity at times, and maintain a positive professional attitude. * Exceptional verbal and written interpersonal and customer service skills Work Environment: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
